OpenProject 16.0 streamlines collaboration with meeting backlogs

Berlin, May 21, 2025 – OpenProject, the leading open source project management software, today announced the release of OpenProject 16.0. The new major version introduces a range of powerful features that improve team collaboration and project transparency, including a new meeting backlog, internal comments for work packages, and a personal time tracking module.

With this latest release, OpenProject continues its mission to provide secure, flexible open source project management software that supports teams across industries with full transparency and no vendor lock-in.

Meeting backlogs: Prepare meetings and follow-up with ease

The new Meeting backlogs feature gives teams a more structured and dynamic way to prepare meetings. Agenda items can be collected, prioritized, and moved into meetings when they are ready to be discussed. No more copy-pasting or forgotten topics in your meetings:

  • Stay prepared and collect meeting items with your team throughout your work.
  • Track open points across recurring meetings and reduce duplication.
  • Quickly drag and drop topics into agendas when the time is right.

Meeting backlogs

Meeting backlogs streamline preparation, improve follow-up, and increase clarity. The feature is available in all OpenProject editions, including the free Community version.

With this release, the old classic meeting type has been officially deprecated. Existing classic meetings are automatically converted to one-time meetings.

Internal comments allow you to collaborate more privately

OpenProject 16.0 introduces internal comments for work packages. This new Enterprise add-on enables users to add private comments that are only visible to team members with appropriate project permissions.

The new internal comments feature helps teams separate sensitive or internal-only information from general project communication. These comments are only visible to users with the appropriate permissions and enable better project communication:

  • Share internal decisions without exposing them to external stakeholders.
  • Foster more open internal discussions among authorized team members.
  • Keep work packages organized and context-rich, without compromising confidentiality.

This feature is a further step to replace Atlassian Jira Service Management functionalities.

Automatically generated work package subjects for more consistency

Teams working with structured processes for work packages in OpenProject such as invoices, IT tickets, vacation requests, and other structured templates will benefit from automatically generated work package subjects.

This new feature allows administrators to define subject templates for work packages based on work packages information, incl. custom fields, ensuring consistent naming conventions across projects. This ensures standardization across your organization, saving time and avoiding manual input errors.

  • Streamline workflows for structured processes like vacation requests or IT tickets.
  • Subjects are created automatically and follow your rules — no manual editing is required.

This feature is part of our Enterprise Professional plan and higher.

New ‘My time tracking’ module to track time smarter

Time tracking in OpenProject is now more personal and structured. The new My time tracking module gives users a dedicated space to log and review their time entries, either in a calendar view or as a list. It supports tracking with start and end times and improves visibility into daily workloads.

  • Visualize your daily workload with calendar-based time entries.
  • Log start and end times for more accurate reporting.
  • Easily edit and review past entries for better time management and invoicing.

The module is available in all editions, including the free of charge Community version.

More insights for everyone: Work package graphs now in Community edition

A feature previously exclusive to Enterprise plans – work package graphs on the project overview page – is now available in the Community edition. Users can visualize key project data at a glance using bar, pie, or progress charts, enhancing communication and project transparency. These charts can be added to the project overview page.

  • Choose from bar charts, pie charts, and progress graphs.
  • Improve communication with stakeholders through clear visual insights.

Previously limited to Enterprise users, this feature is now freely available to users of all editions.

Updated Enterprise plans and more

With 16.0 OpenProject has updated its Enterprise offering. Each Enterprise plan (Basic, Professional, Premium, Corporate) now comes with a clearly defined set of Enterprise add-ons on top of the additional services and support levels. This increases transparency while keeping:

  • Our pricing unchanged
  • The current Support levels consistent
  • Existing features available for all current customers

OpenProject 16.0 is now available for all editions. Community and on-premises users can upgrade promptly, and Enterprise cloud instances are being updated automatically as of May 21, 2025.

OpenProject at openDesk

OpenProject is the open source component for project management in openDesk. All updates will also be part of openDesk and will be released with the upcoming release of openDesk 1.4.
